Booking Terms & Conditions

Please read these Booking Terms & Conditions carefully before confirming your reservation. By making a booking with Safar Salama Tours, you acknowledge that you have read, understood and accepted the following terms.

Reservations become confirmed once payment has been received and written confirmation has been issued by Safar Salama Tours. Depending on the service booked, either full payment or a deposit may be required to secure the reservation. The remaining balance, where applicable, must be paid by the date stated on your confirmation invoice.

 

Cancellation Policy

At Safar Salama Tours, every reservation requires immediate planning, coordination with licensed guides, transport providers, and, where applicable, the purchase of entrance tickets. As these arrangements generate costs from the moment a booking is confirmed, the following cancellation policy applies to all reservations.

 

Administrative Cancellation Fees

If you cancel your booking, an administrative cancellation fee will apply according to the notice period below. These fees cover booking management, payment processing, supplier coordination, scheduling, and other administrative costs.

More than 30 days before the service 10% of the total booking value
30–15 days before the service 15% of the total booking value
14–8 days before the service 20% of the total booking value
7 days to 72 hours before the service 25% of the total booking value

 

Private Tours

Private guided tours may be cancelled free of any additional penalty until 72 hours before the scheduled start time, subject only to the applicable administrative cancellation fee and any non-refundable entrance tickets already purchased.

Cancellations received less than 72 hours before the tour start are non-refundable.

Private Transfers

Private transfer services may be cancelled until 48 hours before the scheduled pick-up time, subject only to the applicable administrative cancellation fee.

Cancellations received less than 48 hours before the scheduled transfer are non-refundable.

Entrance Tickets

Entrance tickets purchased on behalf of the client are 100% non-refundable once they have been issued or purchased.

The full value of all tickets will be deducted from any refund, regardless of the cancellation date, as most monuments and attractions in Spain do not allow cancellations, modifications, or refunds.

 

Refund Calculation

Where a refund is applicable, it will be calculated as follows:

  • Deduction of the applicable administrative cancellation fee (10%–25%).
  • Deduction of the full cost of any entrance tickets already purchased.
  • Refund of the remaining balance to the original payment method.

Please allow 5–10 business days for the refund to be processed, depending on your bank or payment provider.

 

No-Show

Failure to attend the tour or transfer at the agreed meeting point and time without prior notice will be considered a No-Show.

In such cases, 100% of the total reservation amount will be retained, and no refund will be issued.

 

Changes to a Booking

Requests to modify dates, itineraries, or services are subject to availability and cannot be guaranteed. If the requested change cannot be accommodated and the booking is cancelled, this Cancellation Policy will apply.

Travel Insurance

 We strongly recommend purchasing comprehensive travel insurance covering:

  • Trip cancellation

  • Medical expenses

  • Travel delays

  • Lost baggage

  • Personal liability

Travel insurance may reimburse costs that cannot be refunded under this policy.

 

Customer Responsibilities

Clients are responsible for:

  • Providing accurate passport details when required.

  • Clients are responsible for arriving at the agreed meeting point on time.

  • Carrying valid travel documents.

  • Ensuring they meet any entry requirements for Spain.

No refund will be given for:

  • Late arrivals.

  • Missed tours.

  • Missed transfers.

  • Early departure after the service has commenced.

  • No-shows.

Limitation of Liability

Safar Salama Tours acts as an organiser and, where applicable, as an intermediary with licensed guides, transport companies and monument authorities.

Our liability is limited to the services booked directly with us and to the maximum extent permitted by applicable law.

Privacy Policy

 Any personal information provided during the booking process will be processed in accordance with our Privacy Policy and applicable data protection legislation.

 

Exceptional Circumstances

We understand that unforeseen events may occur. If you need to cancel due to exceptional circumstances, please contact us as soon as possible. Although this policy remains applicable, we will always make reasonable efforts to offer an alternative date or another suitable solution whenever possible.
